Streamlining Call Center Operations with Modern Call Center Technologies

A modern call center is complex and often chaotic. The need to multitask and multi-specialize is great, and that causes strong potential for inefficiency. Fortunately, there are effective strategies to reduce this wastefulness. The one we’ll discuss in this article is streamlining. Streamlining means to design to present the minimum amount of resistance to the flow of air, water or in this case, information.

At a call center, the faster we can receive and deliver data while ensuring information integrity, the more efficient, effective and profitable we’ll be. There are a number of ways to streamline. A good call center manager can even streamline the team and team management to be more productive. The type of streamlining we’re going to discuss today, however, uses technology, such as Telax acd (automatic call distribution) or IVR (interactive voice response).

Let’s start with IVR. In a traditional call center, the entry point to the system is one of its most inefficient aspects. There’s the potential for delay, and then the agent must answer the call. He or she must listen to the request, process it, perhaps ask for additional information and then decide whether they can handle it. If they cannot, they then pass it on to the agent or specialist who can, and then the process starts again. At best, this wastes time, and it diminishes caller satisfaction.

An IVR is an automated system that answers the call. There are no delays, it greets the callers in a uniform manner and it can even give callers the option of hearing instructions in multiple languages. Then, through a series of precision queries, the system determines what type of support the caller requires, and then the IVR transfers that call to the appropriate personnel. IVR systems can even integrate self-service options, which can provide significant savings to the modern call center.

One of the great advantages of modern technology for the modern call center is the ability to use a distributed model. In fact, with a hosted solution, a business does not even require a physical location. The host serves that purpose, and the network comprises satellites. These satellites may be small locations, but often, they’re individual agents working out of their own homes. The distributed approach allows the business to save on overhead, which they can then spend on higher-quality agents and specialists.

An ACD system is an integral component of making that possible. These sophisticated call-routing systems are at the heart of all call center solutions, whether they be hosted, owned, distributed or centrally located. They combine intelligent routing, skill-based routing and routing through user-defined parameters. Usually, the goal is to avoid wait times, but if such delays are necessary, the system can provide wait time estimates, marketing messages and even play music. Callers have options for self-service and voice mail, and the system is smart enough to prioritize the queue on many parameters beyond call time.

Lastly, another benefit to streamlining from modern technology is data collection, reporting and analysis. Today’s technology allows us to monitor the finest details of a call center, and then process that massive amount of data. By doing so, we’re able to see patterns emerge that would not have been otherwise apparent. The modern call center can then use these patterns to be proactive rather than reactive. Staying ahead of the curve is vital to the long-term efficiency of any complex call center.

Hosted call centers, modern call center technologies

Hello!! Thank You For Calling.....

It's a common opening line for almost every hosted call center, irrespective of the type of products or services. From its original phase, where they were just looked upon as call answering centers, call centers have now evolved to become an integral aspect for a successful business strategy.

Hosted Call Centers

Gone are those days when the elementary automatic dialing systems used to take ages to complete a task!! With changing times, every company started looking at call centers as one of the main source to reach customers. Hence, they were compelled to introduce new technologies to manage calls in an efficient manner.

IVR or Interactive Voice Responses was one of the stepping stones in this area. This enables a caller to make selection as per the requirements and with auto-routing in place, he/she is connected to the right agent in the hosted call center. In case of telecommunications, IVR is used in networks where call volumes are huge. From old PBX line phones to VOIP Phones, single line to multiple lines, even the phone sets used in call centers have gone through evolution to match the industry demands.

Another new technology that has proved really useful is the predictive dialer. With this feature, call center agents can communicate with the customers for longer time without interruption. A predictive dialer is not same as automatic dialer. One of the biggest advantages of predictive dialer is that it is programmed to predict when an agent is available to pick up a call. Predictive dialer can also measure number of available agents, average call handle time and accordingly adjust outbound calls. In fact, in most call centers, even breaks like lunch etc. are decided after checking the status on predictive dialer software. Apart from these new technologies, another new and very important technology is call recording and monitoring system.

Every company invests huge money and resources to ensure "100% call logging". This means every interaction between an agent and a client is documented. This is essential for data retrieval, utilization check and also complex search capabilities like finding a customer's address, phone number etc. The monitoring system is used to ensure that resources are being used effectively and efficiently by agents to improve customer service. It is like a mode of quality check for the service provided by the agents of the hosted call center.

Another common misconception about call centers is that they are only about making or receiving calls. With new technologies being introduced every day, call centers also have to match up to the expectations and requirements of the clients. Modern call centers are no more limited to answering calls. They try to reach their customers via different media like fax, email, online chat etc. CTI or Computer Technology Integration is the latest technology, which blends all forms of communications into one interface. Since it is pretty expensive, currently only large scale call centers are able to implement this technology.

It is now possible to say that with their growing impact on businesses, hosted call centers are trying to implement every new technology that can provide efficient, hassle-free and satisfying experience to the customers.

It seemed there was a problem because Thunderbird could not recognize the file format of Outlook Express. It was very frustrating, because Outlook uses a file format called .pst, it is file format and folder used my Microsoft Outlook to store mails, messages, contacts, and calendar in Outlook.

Then I tried to search God Father Google to find a solution for .pst format, I really do not know what was my search keyword that I saw a site called PSTpanic. It is an online competition where you can submit your picture and other users can vote on.

In fact PSTpanic is a web 2.0 site in a very specific niche for computer enthusiasts and provides game for network admins. You must show your panic and frustration to win the prizes, which are Amazon gift vouchers. The photo that gets the highest vote and rate wins $250 Amazon gift voucher. I think it is fun to participate.

Update: I noticed that this site (PSTpanic.com) is not functional anymore.

What are computer routers?

As name suggests, this device does routing. But the question is what does it route? Computer routers are usually employed in commercial and residential environments for routing and forwarding electronic information. Imagine a scenario where you want to access a particular web page through your web browser. First you need to pass the URL of the website you want to access to the web browser and then the web browser converts the English in to electronic data packets and sends to the destination website. The devices called routers make sure these packets are successfully routed to the destination website.

Usually routers are used for two different purposes; internet access (connectivity) and internal access (intranet). Based on the intended use of the router, the features may widely differ. As an example, the routers used for internet connectivity will have more security features compared to the routers used for internal use. These routers can be programmed for routing rules so the security of the connectivity can be ensured in the data layer level. Usually in an organization, there are few areas interconnected in terms of networking such as floors or departments. These are separated as groups due to ease of managing the network related activities. These network segments are connected through routers for making sure the inter-segment information routing is done properly. The routers used in enterprise organizations are relatively expensive as there are many additional features included in the devices.

There is another type of routers used at houses and small offices. These routers are used for connecting the home computers to a broadband network. These routers (residential gateways) are usually lower priced as they have a set of limited functionalities. These routers are not sophisticated or secure as an enterprise router and may not have a large number of ports as well. If you have multiple computers connected to your router, all the computers connected to the router will be shown as one computer with one IP address in the internet. This makes the computers secure as they are not visible to attackers. Many routers of this type now come with built-in firewalls making the home computers more secure.

The latest addition to the router family is the wireless (Wi-Fi) routers. These routers behave as the same way as residential gateways but there are no wires connecting the computer and the router. Instead, the computers have a devices installed that can receive and transmit radio waves and the router has an antenna transmitting the receiving the radio waves. This facilitates the wireless communication between the router and the computers allowing the usage of computers flexible. Wi-Fi routers come handy when it comes to wireless enable laptops. There are many types of enterprise level Wi-Fi routers available in the market for commercial use as well.
